Appointments may involve a range of therapeutic approaches depending on the individual’s needs and goals. Treatment approaches may include evidence-based psychological therapies such as cognitive behavioural therapy (CBT), mindfulness-informed approaches, trauma-informed therapies, and other therapeutic techniques where appropriate.

If you are unsure whether psychology may be helpful for your situation, you are welcome to contact MindZen Psychology to discuss your needs.
A standard psychology appointment at MindZen Psychology lasts 50 minutes.
This is the typical length for individual therapy sessions and allows time for focused therapeutic work while also allowing the psychologist time to complete clinical notes and preparation between appointments.
Sessions may be conducted in person or via telehealth, depending on what is most suitable for your circumstances.
Occasionally, longer appointments may be arranged when clinically appropriate, such as for:
If you are unsure what type of appointment is most appropriate, you are welcome to contact MindZen Psychology to discuss your needs.
No. You can book an appointment with a psychologist at MindZen Psychology without a referral.
However, if you would like to claim a Medicare rebate, you will usually need a Mental Health Care Plan prepared by your GP or a referral from a psychiatrist.
Referrals may also be accepted from paediatricians, particularly when supporting children and adolescents. These referrals can assist with coordinated care but may not always provide access to Medicare rebates unless they are part of an eligible program.
If you are unsure whether you need a referral, you are welcome to contact MindZen Psychology for guidance.
Yes. You can attend psychology sessions without a Mental Health Care Plan.
In this case the appointment will be privately funded, and Medicare rebates will not apply.
Some clients choose this option if they:
Your psychologist can discuss suitable options with you during your first appointment.
MindZen Psychology is a private fee-for-service practice and does not offer bulk billing.
The Medicare bulk billing rate for psychological services does not cover the costs involved in running a private psychology practice. These costs include professional registration requirements, ongoing professional development, clinical supervision, professional insurance, secure clinical software systems, and the general overheads required to provide a safe and confidential healthcare service.
For this reason, clients are required to pay the full consultation fee at the time of their appointment.
If you have a Mental Health Care Plan from your GP, you may be eligible for a Medicare rebate under the Better Access initiative. This rebate is a partial reimbursement of the consultation fee and is processed after the full session fee has been paid.
At MindZen Psychology:
This means that Medicare does not cover the full cost of the appointment and the service is not provided as a “gap-only” payment arrangement.
If you have a Mental Health Care Plan from your GP, or a referral from a psychiatrist, you may be eligible to claim Medicare rebates for psychology sessions.
Under the Better Access initiative, Medicare rebates are generally available for up to 10 sessions per calendar year.
It is important to understand that Medicare does not provide free psychology sessions. Instead, Medicare provides a rebate toward the cost of the consultation.
At MindZen Psychology:
Medicare rebates are not available for cancellation fees or missed appointments.
Some private health insurance policies include psychology benefits under extras cover.
If you wish to claim through your private health insurer:
Rebate amounts vary depending on your insurer and level of cover. We recommend contacting your health fund directly to confirm your eligibility.
MindZen Psychology may work with NDIS participants where psychological services are appropriate and funding is available within the participant’s plan.
Appointments may be available for participants who are self-managed or plan-managed.
If you are an NDIS participant, it is helpful to contact the practice before booking so we can discuss:
Fees for NDIS services follow the NDIS price guide, and in some cases out-of-pocket costs may apply depending on the participant’s plan and funding arrangements.
Yes. MindZen Psychology welcomes clients who are receiving support through TAC (Transport Accident Commission) or WorkSafe / WorkCover claims.
However, the fee schedules set by these third-party insurers are often lower than the standard fees required to operate a private psychology practice, and out-of-pocket expenses may apply.
If you are attending under TAC or WorkCover, it is helpful to contact the practice before your appointment so we can confirm:
It is also important to understand that when psychological treatment is funded by a third-party insurer, the psychologist may be required to provide information to the insurer regarding treatment. This may include information such as:
For this reason, clients attending under TAC or WorkCover should be aware that confidentiality may be limited by reporting requirements associated with third-party funding.
The fee for a standard 50-minute consultation is listed on the MindZen Psychology online booking system.
Payment is required on the day of your appointment.
Accepted payment methods include:
If you are eligible for a Medicare rebate, it can usually be processed electronically after your appointment.
Clients using private health insurance will receive an invoice to submit to their insurer to claim any available rebates.
If you need to cancel or reschedule your appointment, we ask that you provide as much notice as possible so that the appointment can be offered to another client.
Our cancellation policy is:
Please note that Medicare rebates cannot be claimed for missed or cancelled appointments.
Extenuating circumstances may be considered at the discretion of the practice.
If you arrive late for your appointment, the session will still finish at the scheduled time so that other clients are not delayed. The full consultation fee will still apply.
If you are running late, we ask that you contact the clinic as soon as possible to let us know.
If a client has not arrived within 10 minutes of the scheduled appointment time and we have not received any communication, the clinic may attempt to contact the client to ensure their safety and to confirm whether they are still able to attend the session.
Yes. MindZen Psychology offers secure telehealth (video) sessions as well as in-person appointments.
Telehealth can be helpful for people who:
Telehealth sessions are conducted using secure video platforms designed for healthcare use.
In some circumstances, your psychologist may recommend in-person sessions if this is considered more appropriate.
For many concerns, telehealth psychological therapy has been shown to be as effective as face-to-face sessions.
However, telehealth may not be suitable for every situation. Your psychologist will discuss the most appropriate treatment approach with you.
Yes. Confidentiality is a fundamental part of psychological care.
Information discussed during sessions remains confidential except in circumstances required by law or professional ethical guidelines, such as:
Your psychologist will explain the limits of confidentiality during your first appointment.
Psychologists sometimes engage in professional supervision or consultation with other qualified psychologists.
This is a standard part of professional practice and helps ensure psychological services remain safe, ethical, and consistent with current standards.
When cases are discussed in supervision, identifying details are removed to protect client privacy.
Supervisors are also bound by professional confidentiality obligations.
MindZen Psychology stores client records in secure, encrypted clinical practice software with medical-grade security protections.
Information collected may include contact details, referral information, relevant medical history, and clinical notes related to your care.
Your personal information is managed in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
MindZen Psychology may use a secure AI-assisted clinical documentation tool (Heidi Health) to support note-taking.
This allows the psychologist to focus more fully on the therapeutic conversation.
Important points:
Clients may choose not to use this technology, and manual note-taking can be used instead.
Yes. MindZen Psychology can provide psychological reports when appropriate, including reports for schools, healthcare providers, or other support services such as the NDIS.
Report preparation involves professional time reviewing clinical information and preparing documentation, and fees apply for this work.
Fees will be discussed with clients before the report is prepared.
MindZen Psychology may be able to provide letters or brief reports for court matters when formally requested by a judge, magistrate, or through a legal process such as a subpoena.
Treating psychologists generally provide factual summaries of treatment or attendance, rather than formal forensic assessments or expert witness opinions.
Preparation of court-related documentation involves professional time reviewing clinical information and preparing written material, and fees apply for this work.
The first session usually involves discussing:
This session also provides an opportunity to ask questions and decide whether the psychologist feels like the right fit for you.
The length of therapy varies depending on the individual and the concerns being addressed.
Some people attend for a small number of sessions focused on a specific issue, while others choose longer-term support.
Your psychologist will discuss treatment options and review progress with you over time.
Clients may request access to personal information held by MindZen Psychology.
Requests for access or corrections can be made by contacting the practice and will be handled in accordance with the Privacy Act 1988 (Cth).
If you have concerns about your care or the management of your personal information, we encourage you to discuss this with your psychologist.
Formal privacy complaints may also be lodged with the Office of the Australian Information Commissioner (OAIC).
